Most event attendees never see the planner command center "war room" – and that's by design. By the time guests are picking up badges or walking into the ballroom, everything appears polished, seamless and exactly as intended. But what they don't see are the last-minute challenges being solved behind the scenes: an AV malfunction, a keynote speaker stranded at a connecting airport or any number of surprises that emerge once a program is live.
The perfect event is a bit like a swan: graceful and serene above the water while paddling furiously underneath.
Meticulous project management is fundamental to how successful events are built. But when reality doesn't follow the plan, as it often doesn't, adaptability and resourcefulness are the qualities that separate a good event planner from a great one. A great one has ability to masterfully and quickly assess a situation, identify workable solutions and keep moving forward to protect the flawless attendee experience.
Here's a look at a few behind-the-scenes challenges our team encountered onsite at corporate events and fundraising galas – and the creative solutions that kept the experience impeccable for guests.
EVENT PRODUCTION PROBLEM #1: SUPPLIES DELIVERED TO THE WRONG LOCATION
For a recent executive program, we had custom shirts made for each participant, each with a personalized nickname – the kind of detail that makes a gift feel thoughtful rather than pulled from a catalog.
The problem arrived in the form of a delivery notification while our team was somewhere over the Atlantic. The vendor had overnighted the shipment to our home office instead of the requested destination. With the event a flight away, there was no scenario in which the shirts would arrive on time.
We began looking for alternatives from 30,000 feet. After several unsuccessful attempts to identify a retailer that could supply matching shirts on short notice, one team member noticed that the venue staff uniforms included white polos remarkably similar to the shirts we had originally ordered. That observation led to an email inquiry to the hotel, who responded with an offer to sell us shirts they had on hand at cost and simply bill them to the master.
The replacement shirts were waiting at the front desk when we arrived. By the time the first attendee checked in, each shirt had been paired with a personalized magnetic name badge and placed with the welcome gifts, ready for delivery to each guests’ room.
EVENT PRODUCTION PROBLEM #2: THE BALLROOM NEEDS A MAKEOVER
Receiving the wrong linen colors on setup day is frustrating, but not unusual. Several planned hotel updates, including carpet and lighting refreshes, had also been delayed. The result was a ballroom that felt flatter and more dated than we had envisioned for guests. Our team immediately began planning ways to bring additional energy, color and visual interest into the space.
While working through the challenges with the hotel, our team started doing what event professionals often do when Plan A needs a little help: wandering through the back-of-house looking for opportunities.
While making our way through the service corridors, we spotted some stunning floral arrangements from a wedding held the previous evening. The arrangements were still fresh, beautifully designed and sitting near a breakdown area awaiting disposal.
Recognizing the opportunity, we confirmed they could be repurposed and immediately got to work. One arrangement at a time, the team carried the oversized florals through the hotel and strategically placed them throughout the ballroom, carefully preserving sightlines to the stage, while adding texture, color and visual interest to the space.
The banquet captain had a good laugh watching us shuttle centerpiece after centerpiece across the property, but by the time the show began, the room was transformed. It's a perfect example of resourcefulness in action: seeing potential in something that was about to be thrown away and giving it a second life (and all at no cost to the client!)
EVENT PRODUCTION PROBLEM #3: THE WELCOME BAGS ARRIVE DESTROYED

Welcome amenities are often the first physical touchpoint guests have with an event, setting the tone for the experience before a session begins or a keynote takes the stage.
When our international DMC partner delivered the welcome bags for a recent event, the bags did not do well in transit. They were creased, scuffed and far from the polished first impression we wanted guests to receive.
The first arrivals were a few hours away.
Rather than accept the situation, our team hit the streets, visiting boutique after boutique, collecting enough inventory to replace every bag, then hitting up local craft stores for materials and supplies. We hauled the bags and supplies back through the cobblestone streets, and rewrapped and repacked each gift by hand while sitting on a hotel room floor.
The replacement bags, handcrafted by local artisans and inspired by the destination itself, ultimately became part of the guest experience. By the time attendees arrived, they found thoughtfully prepared welcome gifts waiting in their rooms, completely unaware of the scramble that had taken place only hours earlier.
THE SKILLFUL EVENT PRODUCTION BEHIND THE STORIES
Resourcefulness in event production is a capability built through experience. It comes from dynamic problem-solving, creative troubleshooting, strategic resource allocation and knowing which vendors you can call in the middle of the night.
During a recent post-event review, we walked a client through several of the challenges that had surfaced behind the scenes throughout their program. They listened for a moment and then responded, "Wow. I had no idea any of that happened."
Yes, that's exactly the point!
